Job Description
• Monitors pre-employment logistics and offer acceptance for new TEPMA1 staff; coordinates start dates and demobilization with hiring or line managers
• Initiates background checks on new TEPMA1 employees and their employment contract drafting, including subsequent contract amendments for job changes and promotions
• Administrates On/Off boarding processes for Employees and Organic and Service Provider contractors; maintains onboarding checklist to track offer acceptance thru orientation deliveries
• Provides all pre-employment documents to HR team, and creates and manages the employee record in HR4U
• Updates and facilitates New Hire Orientation; coordinates New Arrival inductions with ITS, Security and HSE; conducts New Hire follow up checks
• Prepares and distributes weekly reports to all stakeholders
• Stays informed on all travel arrangements to location up to point of arrival; liaises with internal and external stakeholders as required.
• Ensures local housing transportation, schooling, destination services, security orientation is confirmed for expatriate employees; provides timely notification to applicable third party stakeholders (EY, etc.)
• Prepares documents/correspondence to facilitate relocation (NUIT applications, import/export declarations, social security notarization requests, residential certificates, letters for customs and for opening bank accounts). Assists expatriate staff with INSS administration
• Administrates TEPMA1 staff Domestic Relocation
• Takes an active role in supporting safety initiatives, and taking appropriate steps when unsafe conditions are observed; reinforces the safety culture with new TEPMA1 staff
Context and environment
Gathers critical information from multiple communication channels to timely meet weekly deadlines associated with the relocation and on-time on/off boarding of staff and Organic Contractors
Candidate profile
• Bachelor’s degree in Human Resources, Organizational Psychology, Business Management or any related field;
• At least five (5) years of experience in Human Resources management in a similar function;
• Excellent verbal and written communication skills
• Strong interpersonal skills and ability to maintain effective working relationships with internal and external partners
• Strong attention to detail, accuracy, organizational and time management skills.
• Ability to handle sensitive and confidential information
• Excellent Planning skills
• Proficiency in Portuguese and English
• Knowledge of Ms Office knowledge, including MS Excel
