THE DEPARTMENT
The Division of University Advancement's primary purpose is to enhance the private support and knowledge of the University. University Advancement manages programs, events and activities that stimulate the involvement and interest of alumni, friends, parents, corporations, and foundations to develop relationships which cultivate and foster relationships and stimulate giving to the university. The division manages and operates the Cal Poly Pomona Philanthropic Foundation which serves as the official entity to receive and manage all charitable contributions to the University.

DUTIES AND RESPONSIBILITIES
Under the general supervision of the Assistant Vice President of Operations (AVPO), the Executive Director of Advancement Services is responsible for staff management and overseeing the department goals and objectives.
The Executive Director manages and sets priorities for the staff and operations of prospect management, prospect research, data analysis, gift processing, and donor relations and stewardship in the strategic planning and implementation of their programs, activities, workflow, and policies and procedures.
Meets with the Director of Philanthropic Research & Management, the Prospect Management and Database Specialist, and Gift Processing Specialist on a regular basis to track goals, priorities, work plans, status of projects, provide leadership, ensure priorities and goals are met, share knowledge and provide guidance to meet goals.
Evaluates the performance of each MPP and staff annually.
Collaborates with the Director of Donor Relations & Stewardship on a regular basis
Provides operations support to the department by greeting guests, receiving deliveries, and processing mail as needed.
The Executive Director serves as the point person for information systems needs for the Division of University Advancement and communicates with the Division of IT to coordinate such needs.
Promotes efficient flow of advancement data information to appropriate users. Works closely with the AVPO, Sr. Associate Vice President (SAVP) of Development, AVP of Central Development, Ex, Director of Development, and development officers to ensure all reports are managed and disseminated in a timely manner.
Assures database integrity and that all policies and procedures regarding data management and requests are being handled expeditiously and correctly.
Creates and enforces policies and procedures pertaining to information systems services for the division.
Contracts with outside vendors for applications, services, etc. which pertain to University Advancement services such as data refresh services, telemarketing software, prospect research tools, report/dashboard development, and alumni/donor bio updates
The Executive Director collaborates with the SAVP of Development and AVP of Central Development to create reports that continuously analyze prospects, prospect pipeline, and moves management against industry standards and best practices.
Collaborates with senior management to create and report on performance metrics for fund raisers.
Collaborates with prospect research to enhance screening methodology to measure giving potential, providing more accurate prospect assignments to fund raisers.
The Executive Director serves as a senior member of the Division of University Advancement. Works as a team member to envision, develop, and implement the divisional strategic plan which includes mission statement, goals, objectives, priorities, development of policies and procedures, and assessment/identification of problems and recommendations associated with the implementation of the strategic plan as it relates to advancement services. Provides support to the Philanthropic Foundation and its committees as assigned.

QUALIFICATIONS
Five years of progressively responsible experience in university advancement management specific to data analysis skills, prospect management or research, donor relations and stewardship, and advancement services.
Ability to act independently and provide strategic direction.
Strong management skills, problem solving skills, data analysis skills, and decision-making skills required.
Ability to manage resources and work to assure deadlines are met.
Ability to handle various special projects on an ongoing basis while addressing daily needs for operation.
Effective interpersonal and communication skills to motivate and inspire staff, volunteers, donors, and others to achieve their maximum potential.

Preferred Qualifications
Master's degree preferred.
Experience in database conversion.
Experience in project management.
