Receptionist
Department: Administration
Employment Classification: Part Time (non-exempt)
Reports To: Pastor / Business Manager
General Summary of the Position:
The Secretary/Receptionist, in many ways, is seen as the face of the parish staff. Welcomes all who come into, or telephones, the parish office and provides administrative and related office services to clergy, staff, and members of parish committees.
The principal duty of all employees is to assist in the mission of the Church in the Diocese of Venice. Duties, responsibilities, and activities may change at any time with or without notice.
Job Duties
• Provides receptionist services for the parish office, welcomes and directs visitors.
• Answers telephones and directs calls appropriately.
• Maintains schedules for weddings, baptisms, funerals, and other facility-related events.
• Maintains parishioner database and other parish records.
• Helps to maintain parish sacramental records for marriages, baptisms, deaths.
• Performs secretarial duties for the pastor, staff, and other designated committee members.
• Coordinates pastoral meetings, parish staff meetings, and discussions with families.
• Coordinates and controls distribution and selling of tickets for parish social events, poster and/or flyer development, etc.
• Helps with other various parish event support projects.
• Orders and/or purchases office supplies and other parish supplies and materials as requested.
• Sends required/requested sacramental notifications or certificates.
• Maintains Mass intention book, records Mass intentions.
• Coordinates office volunteers for their assistance with telephones, record-keeping projects, mailings, social events, church missalettes, etc…
• And other duties and responsibilities as assigned by the pastor and/or the designee
