JOB DESCRIPTION

Job Summary:

The Controller position is responsible for planning, directing, and coordination of the operation of the Business Office including accounting and financial reporting functions, receivables including student accounts and loans, purchasing and payables, internal control systems and banking. This position will manage the accumulation and consolidation of all financial data necessary for an accurate accounting of university business transactions.

Duties/Responsibilities:
• Manage the daily operations of the Business Office of the university.
• Supervise and oversee the staff of the Business Office.
• Provide financial counsel for departments seeking assistance.
• Manage the administration of the JPMorgan Purchasing Card program.
• Generate regular financial reports such as income and expense statements, variance reports, balance sheets, cash flow statements and monthly general ledger reports by the 15th of the month.
• Prepare special reports at the request of the University leadership.
• Direct the process for the preparation of the annual budget.
• Prepare the preliminary budget for the June Board of Trustees meeting.
• Prepare the final budget for the November Board of Trustees meeting.
• Act as the purchasing agent for the university ensuring, that purchasing is done in accordance with university policy.
• Ensure orders are placed on a timely basis.
• Ensure that students are billed promptly at the beginning of each term.
• Ensure that monthly statements are prepared for all bills.
• Ensure students with overdue accounts are contacted.
• Approve registration for students on payment plans.
• Ensure that appropriate collection measures are taken with overdue accounts.
• Ensure vendors are paid in accordance with university policy, so as to maximize the institution’s cash flow advantage.
• Ensure that transactions and entries are properly recorded and classified in accordance with generally accepted accounting procedures.
• Ensure that accounting procedures and practices are updated, as needed, to comply with current accounting requirements.
• Ensure that appropriate supporting documentation is maintained for restricted and endowment funds.
• Prepare and file required state and federal financial reports; such as the tax withholding, 990, 941, and 1042, in a timely manner.
• Prepare grant reports as needed.
• Assist university leadership with special projects as needed.
• Manage the normal banking and investment of institutional funds, and for projecting and managing cash flow.
• Ensure that bank account balances are kept with adequate but not excess funds for current banking needs.
• Prepare cashflow projections and compare to actual.
• Collaborate with outside audit firm to complete the annual financial audit.
• Manage the campus mail service.
• Performs other duties as assigned.
Qualifications Required Skills/Abilities:
A sound knowledge of federal, state, and local government regulations relating to accounting, finance, and auditing.Demonstrated ability to work and communicate effectively and professionally with all constituencies of a diverse community.Outstanding leadership and management skills.The ability to build relationships that balance the multiple, varying, and sometimes conflicting interests of diverse stakeholders around politically charged subject matter are essential.Ability to effectively express ideas clearly in both written and verbal communications.Proficiency in computer applications, specifically Jenzabar (J1), Paymerang, Concur, Convera Global Pay, Google, and Microsoft Office.Ability to interpret and analyze information for effective decision making.Attention to detail to prepare reports, correspondence, administer tests, and coordinate information.Ability to read, analyze, and comprehend information for interpreting policies, accounting rules and regulations, state and federal laws, and computer procedures.Excellent problem-solving and conflict resolution skills, and the ability to deal effectively with a variety of situations and constituents.Excellent organizational skills and the ability to manage multiple projects simultaneously.Ability to maintain confidential information and materials.Ability to effectively supervise and motivate staff.
Education and Experience:

Bachelor’s degree in accounting or business administration or related field, and a minimum of 5 years of

experience in accounting, financial management, budgeting and planning, or an equivalent combination of experience, education, and training.

CPA or CMA certification, auditing experience, and higher education experience preferred.

Physical Requirements:

While performing the duties of this job, the employee is regularly required to remain in a stationary position 50% or more of the time. The employee must be able to occasionally move about inside the office to access file cabinets, office machinery, etc. and constantly operate a computer and other office equipment. The employee is occasionally required to stand, walk, and climb or balance. The employee must have the ability to communicate information and ideas so others will understand and must be able to exchange accurate information in these situations. The employee must have the ability to observe details at close range and occasionally lift and/or move up to 10 pounds. The employee must occasionally travel to meetings and conferences off campus, which may include some overnight travel.

Supervisory Responsibilities:

Directly supervises 3-4 regular staff. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and discipling employees; addressing complaints and resolving problems
