Brief Job Overview

The Office Assistant is reporting to the Chief of Party (Cop)-Ethiopia of the Promoting the Quality of Medicines Plus (PQM+) program. They will support the office in facilitating planned activities from the operations point of view. Will support scanning, copying, printing, and binding of training materials and support the office in cleaning the facility and provision of refreshments to the staff during office hours. They will also support the financial system at the office in collaboration with the finance officer.

How will YOU create impact here at USP?

• Support the technical and operations team in duplicating training materials.

• Provide support in compiling, binding training manuals and materials.

• Support the finance system in facilitating communications with banks and making payments as required.

• Cross reference and stamp paid on financial documents.

• Keep the office clean and disposes of waste.

• Support staff in refreshment (tea breaks, etc.) during working hours.

• Delivers/collects documents to/from different organizations.

• Assist with office filing and storage system.

• Scan, duplicate office documents when requested.

• Perform any other tasks as assigned by the supervisor.

Who USP is Looking For?

The successful candidate will have a demonstrated understanding of our mission, commitment to excellence through inclusive and equitable behaviors and practices, ability to quickly build credibility with stakeholders, along with the following competencies and experience:

• 12th grade complete.

• Eight years of related experience are required.

• Ability to successfully manage multiple tasks.

• Excellent interpersonal and communication skills.

• Prior experience in USAID-funded programs and international donor organizations such as United States Pharmacopeia.

• Flexibility in responding courteously to the immediate needs of visitors and callers.

• Ability and desire to work well with a diverse group of employees and customers in a cooperative and friendly manner.

Additional Desired Preferences

Basic Computer Training and ability to communicate by e-mail and other similar platforms.
