Position Summary

Partners for Rural Impact (PRI) is a newly formed nonprofit organization that provides deep community support for youth and their families and works to ensure success for young people from cradle to career. Reporting to the Director of Rural Impact, the Program Coordinator will develop systems to effectively manage projects, records, and materials related to Rural Impact activities, ensuring consistency in workflow and office administration best practices.

Primary Duties and Responsibilities

• Develop and monitor project timelines, due dates and milestones for national events, including drafting contracts, initiating purchase requests, and creating registration sites; provide regular progress reports to teams to ensure work is compliant and progressing as expected
• Perform general clerical/administrative support, including correspondence, order office supplies, travel arrangements and arranging for the pickup, sorting and delivery of mail
• Manage communications/correspondence with internal and external partners via telephone, e-mail, and mail
• Coordinate meeting logistics for training programs and special events hosted by Rural Impact; initiate bids and quotes for meeting space, meals, audio/visual equipment and program materials, and booking travel for participants and staff
• Manage synchronous and asynchronous technology needs for virtual and in-person learning engagements, providing technical assistance to participants and drafting training materials for each learning engagement
• Supports rural impact grant development activities to include researching proposed grant programs, creating files for potential grant applications, reviewing and editing grant narratives, and collaborating with grant services staff to obtain required submission documents
• Develop community and organizational profiles for partners, including both qualitative and quantitative data
• Oversee and maintain weekly schedules of staff on Outlook and coordinates with partners to determine engagement dates and times
• Meeting preparation and onsite meeting support activities: refreshments, agenda dissemination, provide prior meeting summaries and post-meeting summaries electronically to participants
• Manage project budgets, ensuring all expenditures are allowable and within scope of work; and contributes to budget projections
• Prepare and track necessary contracts and agreements
• Serve on Partners for Rural Impact committees, as needed

Position Location & Schedule

The Program Coordinator will be located primarily in Berea, KY. The position will be considered for hybrid work with local, state, and sometimes national travel required.

Normal business hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. with in-office and/or remote work a possibility. Because of the nature of the responsibility to schools, partners, funders, and to the service region, individual offices or departments may have operating hours that extend beyond this period and may include evening and/or weekend hours.

Minimum Qualifications

Education Required

Bachelor's degree required

Experience required to ensure success in this position:

Minimum three years' administrative experience working with data collection, meeting planning/coordination, event planning, budgetary monitoring, and scheduling of events and teams

Minimum two years' experience in complex project management from initiation to completion

Special skills, knowledge and abilities:
• Demonstrated proficiency in all Microsoft Office applications and ability to operate and support multiple technology platforms used in virtual engagement and learning opportunities
• Knowledge of general business operations, human resources, or grants management/federal college access grant programs
• Knowledge of or capacity to understand the Annie E. Casey Results Framework and Results-Based Facilitation
• Exceptional written and oral presentation skills
• Demonstrated ability to multi-task and successfully manage several projects simultaneously
• Must maintain confidentiality and protect the private nature of files and correspondence
• Demonstrated experience in event planning and implementation
• Demonstrated ability to build relationships and work collaboratively with others

License, certification, or registration necessary:
• Valid driver’s license
• Successfully complete pre-employment background check

Physical requirements:
• Ability to work within a high energy office all day, ability to occasionally lift up to 20 pounds, operation of standard office equipment
• Ability to travel independently by car and plane both regionally and nationally
• Ability to communicate effectively and exchange information with partners, stakeholders, and/or meeting participants

Environmental conditions:

Routine office environment with interruptions and noise due to frequency of visitors, students, staff, faculty, and callers

Ability to operate the following vehicles or equipment:
• Standard office equipment – computer, telephone, fax machine, copier, etc.
• Motor Vehicle
