Summary:

Our company is growing at a fast pace and our team is expanding! We are searching for an experienced Executive Assistant to assist one of City+Ventures owners in their professional and personal endeavors. The ideal candidate must have prior experience supporting a high-net worth individual or experience in political campaign management due to the confidential and fast-paced nature of the role. You must be confident in handling ambiguity, be proactive, and able to prioritize while preserving confidentiality. This dynamic role requires the ability to anticipate needs, analyze critically, and offer effective solutions while upholding a high level of professionalism.

Job Duties:
• Proactively manage, assess, and predict the day-to-day needs of the owner to ensure they are prepared and organized for all internal and external meetings and events.
• Seamlessly manage email coordination, calendar scheduling, travel, expense reporting, and a wide variety of priorities as assigned.
• Resolve conflicting time demands to ensure a seamless schedule based on business priorities.
• Project-manage a variety of professional and personal initiatives through self-motivation, clear communication, and complete follow through.
• Manage confidential information and communications tactfully, with efficiency and attention to details.
• Function as a gatekeeper for the assigned leader to ensure time-spend aligns to priorities.
• Coordinate arrangements for meetings with investors, internal leaders, and external contacts as applicable.
• Anticipate the needs and proactively assemble the appropriate people and resources to solve problems.
• Generate, receive, and maintain confidential and sensitive information and files, and ensure security of information.
• Will travel between estates and the downtown headquarters as needed, projecting 25% of the time.

Job Requirements and Skills:
• At least 3 years of experience as an Executive Assistant in a fast-paced, multi-faceted environment with a focus on detail, schedule management, and problem-solving.
• Experience in coordinating general aviation travel and events, including planning and execution.
• Ability to assess ambiguous situations appropriately and proactively take initiative using sound judgment.
• Excellent written and verbal communication skills, including the ability to draft, edit, and proofread emails.
• Must be able to remember details, multi-task and have a hunger to learn the importance of the bigger picture to be effective.
• A technical aptitude to navigate relevant systems, regular use of a computer to manage day-to-day work and ability to research information.
• Capability to preserve confidentiality regarding new business opportunities, personal estate of the owner, staffing changes, project development, and any non-public information.
• Flexibility to travel, if needed
