At IMO, we are on the selective search for a Legal Administrative Assistant to join our world-class Legal & Compliance Team.

Reporting to the VP of Legal, and supporting both legal and compliance functions, the Legal Administrative Assistant will be primarily responsible for providing exceptional administrative support in the areas of department workflow management, corporate record-keeping, vendor management, customer contract workflow, and regulatory compliance.

The successful candidate must be a strong communicator, be detail-oriented, have the ability to manage and effectively prioritize multiple tasks simultaneously, and thrive in a dynamic, quickly changing environment. Culturally, the Legal & Compliance team at IMO is a small, nimble team that works closely together to support a high-growth business. The ideal candidate is curious, has a positive attitude, sense of humor, and is comfortable working collaboratively with smart people trying to solve complex problems.

At IMO, we value in-real-life connection. Expect on-site team collaboration at our Rosemont HQ office at least 1 day per week.

Responsibilities:
• Daily record keeping with electronic filing of documents, including managing electronic signature processes
• Triage and manage service requests from internal and external clients, ensuring a timely resolution
• Obtain relevant information and respond to information requests from vendors, customers, and other third parties
• Generate and organize confidential information, and generate reference tools for easy use by the team
• Prepare and format reports
• Maintain contract database integrity along with other relevant tracking systems and tools
• Actively identify and implement operational improvements, enhancements, and system customization that meet business requirements
• Communicate effectively across all related teams to ensure transparency of the process

Requirements:
• BA/BS degree, or equivalent practical experience
• Minimum 2 years of relevant experience
• Exceptional organizational and writing skills, with the ability to multi-task in a fast-paced environment
• Strong communication skills with the ability to cultivate and leverage relationships both internally and externally
• Strong technical aptitude to perform tasks across various tools and internal systems, such as Salesforce (CRM), Jira, and Contract Management Software (CMS)
• Proficiency in Microsoft suite, specifically Word, Excel, and SharePoint
