Position Description

Job Purpose

We are looking for a Sales Export Administrator reporting directly to the Sales Manager: Exports based in Midrand Gauteng.

The purpose of this role is to manage the office functions and assist in attaining the Sales, GP and Administration budgets

Responsibilities
• Sales
• Submit monthly orders by deadline date
• Process consolidate and split orders to make up full loads for shipments
• Prepare shipments
• Prepare forecast for local and import orders by liaising with Planning for stock
• Assist in the achievement of Budget
• Calling customers to get orders and to make up shortfall
• Liaise with other departments to ensure correct distribution of stock
• Customer Relations
• Ensure that all customers are updated on shipment progress and queries
• Manage the efficiency of handling :
• Customer queries relating to their orders
• Customer satisfaction
• Maintaining good internal and external relations.
• Administration
• Ensure that:
• All transport documents, schedule loading, liaising with transporters / warehouse and booking of vehicles are completed in-time for loading and shipments
• Processing of all types of enquiries via email, phone or fax
• Securing of stock
• Organise transport documentation
• Manage all Bill of Entry documents are completed in-time a day before loading and that all necessary documentation is present to complete the file/consignment
• Back Up Tasks
• Liaise with Finance and customers alike with regards to the customer’s accounts.
• Ensure that all finance related issues/concerns/queries are addressed
• Processing of necessary documents to complete and ensure smooth completion of orders/consignments.
• Preparing of IRCC documents
• Ensure alternative plans are put in place in assisting the attainment of monthly budgets (transportation, orders, funds, stock)

Education And Experience
• Matric
• MS Office Intermediate (Excel, Word, PowerPoint)
• SAP
• Knowledge of export documentation and procedures/processes
• 2-3 years related experience
• Export Qualification would be benneficial.
