Duties & Responsibilities
• Managing the sales order receipts email inbox and dissemination to the correct capturer of orders.
• Processing of product orders.
• Processing invoices for all sales transactions.
• Administration: with special consideration to filing of sales orders and POD's (proof of delivery) in full.
• Working closely with the Operations team.
• Support the sales force with general operations to help them reach the team's objectives.
• Generate daily sales reports and Open Order Reports to management.
• Handling phone calls from customers and/or Sales Agents and handling these in a professional manner.
• Communicating internally important feedback from customers.
• Check inventory to make sure requested product/stock is available.
• Compute prices and any appropriate discounts.
• Handle customer complaints.
• Prepare contracts and invoices as well as Pro-forma invoices and quotes.
• Verify customer information is correct and up-to-date.
• Check customer accounts for credit and outstanding payments.
• Inform customers of shipping dates and any possible delays.
• Notify appropriate department of orders and shipping dates.
• Monitor system for any variances in pricing and customer conditions and report these to the respective Line Manager.
• Review orders for accuracy and completion.
• Sending of daily sales order reports to key functions such as Logistics/Sales Manager/Finance Departments.
• Communicate via various mediums such as but not limited to email, telephone and in person with external customers as well as the Sales Agents and/or Direct Sales representatives of the organisation.
Desired Experience & Qualification
• Matric/NFQ 4.
• Computer Literate.
• 2 years experience as a Sales Administrator.
