Position Title: Executive Housekeeper - Female

Reporting to: Regional Operations Manager

Based at: Hazyview, Mpumalanga

Job Purpose and Overview:

To manage operational activities relating to the Housekeeping and Cleaning contract at an upmarket lodge located near the Kruger National Park. Provide support for contracted teams, and to ensure overall client satisfaction by maintaining high quality standards of service and efficiencies provided by the Hospitality Services Division.

The individual must be fluent in English and Afrikaans and resident in Hazyview or surrounding area. This role involves on-call weekend duties.

Key Responsibilities:

Client Relations Management
• Respond to client’s communication and facilitate reciprocal communication flow
• Manage site Housekeeping performance and deal with all service problems
• Action client’s requests/complaints, ensure that resources are made available where applicable
• Analyze all complaints to prevent reoccurrence and come up with permanent solutions where possible
• Maintain professionalism at all times, diffuse difficult client interactions
• Maintain systems to ensure Housekeeping responsibilities in the Service Level Agreement are adhered to at all times
• Conduct Site Evaluation, including Housekeeping and Cleaning scores and obtain client feedback

Staff Management
• Manage Employee Relations and ensure implementation of company policies and procedures
• Conduct employee performance assessment and provide mentoring and coaching to close performance gaps
• Help to build trust amongst the team members by being professional at all times
• Build morale of the team and work towards team building at all times
• Communicate team goals and set targets and guidelines for the team
• Organize the work and schedules according to the site requirements and capacity of every team member
• Where necessary, manage staffing requirements so as to effectively recruit, train, evaluate, motivate, delegate and monitor their activities.
• Manage effective submission and payment of staff salaries, communicate staff benefits
• Monitor and manage overall staff attendance statistics
• Liaise with colleagues to work together and provide consistent, excellent service as a team
• Manage the operational activities of Housekeeping Services on site
• Follow through to ensure that quality and productivity standards of own work and teamwork are consistently and accurately maintained
• Ensure that occupancies on sites are consistent with the implementation of staff required, plan for busy periods

Health and Safety Management
• Liaise with the Health and Safety Consultant/Senior Management to manage risks, reduce incident occurrence, improve compliance and increase productivity
• Assess risks, hazard identification and communicate with the SHE Consultant/Senior Management
• Assess job tasks and provide adequate Personal Protective Equipment for each task

Standard Operating Procedures
• Preparation, implementation, management and monitoring of Standard Operating Procedures
• Adjust and change processes where efficiencies can be achieved, to improve site and contract performance
• Ensure that training and all records for training are kept for all employees being trained

Equipment, Consumables, Chemicals and Materials Controls
• Ensure that the ordering and delivery process is seamless throughout for site and for special client requests
• Monitor client’s requirements and ensure that they are processed and delivered timeously
• Monitor site to ensure that all compulsory cleaning products and chemicals are always available
• Assist and monitor sites to ensure that they are always ordering their products within the allowable budgets
• Monitor equipment availability, repairs and costs, to ensure efficient cleaning of sites
• Monitor that all machine operators are adequately trained and suitably qualified to operate machines
• Monitor that all machinery and equipment has a checklist for handover purposes and management of usage
• Monitor repairs and parts replacement on equipment, to ensure that there is no equipment abuse and to contain costs for repairs
• Monitor that there is a preventative maintenance programme in place and that it is always adhered to
• Monitor all items of value on site, to ensure safe storage
• Ensure that linen checks are done and that stock levels are managed

Administration and Budgets
• Control and manage Housekeeping and Hospitality Services assets, ensure that there is always accountability
• Make sure that all out of contract requests are monitored
• Assist with the site budget/costing process and provide onsite knowledge
• Ensure that expenditure is budgeted for and that it is appropriately authorized before it is incurred
• Assist in management of direct expenses and overheads, and all factors affecting the profitable performance of the site
• Look for cost savings opportunities and discuss with stakeholders
• Ensure that site Wage Books/Pit Lists are completed every day, submitted to payroll on time and that budgets are adhered to
• Ensure that there is a Site Report completed and submitted for review to Senior Management

Qualifications, Skills and Experience:
• Safety Health and Environment (SHE) certification would be advantageous
• Knowledge of the OHS Act of 1993
• Matric
• The ideal candidate must be highly experienced in Housekeeping operations, with extensive knowledge of lodge operations.
• Language Proficiency – fluent in English and Afrikaans
• Computer Proficiency – MS Office Suite
